
InterviewFlow: Revolutionizing the Interview Experience
How a month-long journey transformed interviews into an intuitive and empowering experience.

Picture this: You’re in a high-stakes interview. Your palms are sweaty, your mind is racing, and every question feels like a mountain you’re not quite ready to climb. Or imagine you’re the interviewer, juggling note-taking, evaluating answers, and trying to keep the conversation on track. Stressful, right? That’s where InterviewFlow came in—a tool designed to bring calm, clarity, and confidence to the interview process.
When I joined the project as the UI/UX Team Lead, I had a clear mission: craft a tool that simplifies interviews for both job seekers and interviewers. With a tight one-month deadline and a small but mighty team of three, I knew we had to move quickly and thoughtfully. We weren’t just designing software; we were redesigning the way people experience interviews.

Understanding the Problem
Listen to User’s Stories
During our research, we met people like Allie, a 21-year-old Guest Relations Team Member, who admitted, “I don’t always know the right answer, and it makes me nervous.” For Allie, juggling note-taking and responding left her frazzled.
Then there was Shanell, a 29-year-old Esthetician, who struggled with virtual interviews: “It’s hard to stay focused with so many distractions around me,” she shared. Salary discussions made her flustered, and she wished for tools to stay calm and organized.
Even interviewers had their challenges. Valerie, a 27-year-old Manager, confessed, “When the conversation veers off course, it’s hard to evaluate soft skills properly.” Ryan, a 38-year-old Former Hiring Manager, echoed this frustration: “Taking notes distracts me from truly connecting with candidates.”

Mapping Emotional Highs and Lows
To dig deeper, we created an Emotional Journey Map, charting users’ emotional states during interviews. Job seekers experienced anxiety, distraction, and self-doubt, while interviewers dealt with frustration and disengagement. This map became our guiding light, ensuring every feature we designed addressed these pain points.

Learning from the Competition
We explored existing tools like Metaview, ConversAItions.ai, and Otter.ai. They offered features like transcription and real-time prompts but missed something crucial: dynamic, collaborative tools that guided interviews while offering real-time feedback. That gap was our opportunity.
InterviewFlow wasn’t just another tool; it aimed to revolutionize interviews with features like:

Designing the Solution
With all this research in place, we were ready to start designing. We knew we needed to create something that was simple, intuitive, and unobtrusive. Our design process followed a clear path:
Style Guide: First, we developed a style guide that reflected a professional, modern aesthetic. The goal was to make the tool feel approachable and non-distracting, so the colors were calming, refreshing, and minimalist, and the typography was clear and easy to read.
User Flow: We then mapped out the user flow, ensuring that both interviewers and job seekers had a smooth, logical journey from pre-interview setup to post-interview feedback.
Sketching and Low-Fidelity Prototypes: I started sketching the interface on paper and moved on to low-fidelity wireframes. This was all about figuring out how to structure the layout and interactions without worrying about the visual polish.
High-Fidelity Designs: Once we had the structure in place, we moved to high-fidelity prototypes. These were fully designed screens with all the polished visual elements, including the user interface, color scheme, and icons. The designs came to life in Figma, where we tested and refined every detail to ensure the tool would be as intuitive as possible.
Testing and Iterating
To make sure our designs were hitting the mark, we ran a few rounds of user testing. Here’s where things got interesting—users had some great feedback:
Ivana (26, Interviewer) loved the post-interview analytics but got confused by the back button’s inconsistent design.
John (35, Interviewer) also liked the analytics but suggested we add a bottom toolbar for quicker access during interviews.
Matthew (36, Interviewee) found the interface a bit overwhelming, especially with so many options during the post-interview phase. He suggested a more streamlined design.
These insights helped us fine-tune the design. We adjusted the navigation and accessibility to make sure the tool was as user-friendly as possible.
Usability Testing and Key Changes
We conducted four usability testing sessions and gathered valuable feedback:
Confusing Card Layout: Users struggled with cognitive overload when choosing options.
Solution: We introduced a tabbed structure, clarifying the hierarchy and simplifying navigation.
Scattered Upload Steps: Resume and job description uploads felt disjointed.
Solution: Consolidated inputs into a single “Add” button on the dashboard for a cohesive experience.
Limited Accessibility During Interviews: Critical features weren’t easily accessible.
Solution: Added intuitive icons and a draggable response box for flexibility.
Lack of a Centralized Hub: Navigation between interview phases was clunky.
Solution: Designed a centralized dashboard with clear entry points for pre-interview, in-interview, and post-interview features.
The Final Product
After a month of intense collaboration, research, and iteration, InterviewFlow was ready. The final product offered:

Reflection
This project reminded me why I love design. It’s not just about creating screens; it’s about solving real problems for real people. Seeing InterviewFlow come to life—and hearing how it eased nerves and improved conversations—was deeply rewarding.
If I’ve learned one thing from this experience, it’s that empathy drives innovation. By truly listening to users and staying open to feedback, we built more than just a tool. We built trust, clarity, and confidence into one of life’s most stressful moments.
